Event equipment transport: plan the load and the return

A practical trailer-hire checklist for exhibition stands, stock and event equipment: packed weights, venue access, loading order and the return journey.

Plan the journey home before you pack for the event

Display stands, stock boxes, folding tables and equipment cases can quickly outgrow a car boot. An enclosed trailer may be worth considering for a market, exhibition or business event if you have a suitable towing vehicle and the load can be carried safely.

For a business setting off from the Preston area, the transport plan needs to cover more than getting to the venue. Work backwards from the pack-down time too: who will help, where will the trailer wait, and when can it realistically be returned? This checklist helps turn those questions into a useful hire enquiry.

1. Make one inventory for both journeys

List the kit by packed unit, rather than by what it looks like when assembled. A display wall may break down into several cases; a folding table still has hinges, handles and feet to allow for. Record the number of cases, their outside measurements, their weights and any handling instructions from the equipment manufacturer.

Include the less obvious items: protective packaging, restraint equipment, spare stock, tools and empty cases that must come home. Use known weights from specifications or weighing rather than judging by size. Mark any figure that still needs checking.

  • Item or case name, quantity and packed dimensions.
  • Weight per packed unit and total load weight.
  • Fragile parts, orientation instructions and stacking restrictions.
  • What is needed first during setup.
  • Who checks the item back in after the event.

That last column makes the same list useful at pack-down. You can identify a missing banner base or cable case before leaving the venue.

2. Confirm the loading entrance with the organiser

Ask for the supplier or exhibitor access instructions. The public entrance may not be the loading entrance. Confirm the arrival slot, any height or width restrictions, the unloading area, and whether the complete car-and-trailer combination can stop and turn there.

Also establish the route between the unloading point and your stand: steps, lifts, narrow doors and long carries all affect the plan. Ask where the towing vehicle and trailer may park after unloading. Do not assume that an exhibitor parking pass covers a trailer or permits overnight storage.

Get the departure arrangements at the same time. A venue may have a different exit route or collection window after the event. Keep the organiser’s contact details and access instructions somewhere you can reach without opening the load.

3. Match the load to the actual trailer and vehicle

Send the inventory with your enquiry. We need to check the actual trailer’s usable space, clear opening, permitted load and suitability for your equipment. A collection of cases fitting on the floor does not establish that their combined weight is acceptable.

The GOV.UK towing guidance explains that the fully loaded car and trailer must stay within the vehicle’s gross train weight. Check the limits for your exact vehicle and trailer; passengers, equipment carried in the car and the trailer load all matter to the combination.

If towing is not suitable for your vehicle, access or job, compare other transport options using our trailer-versus-van guide. Equipment hire also needs to be distinguished from a service that supplies drivers or lifting staff.

4. Balance setup order with safe loading

Label cases by their role during setup: stand structure, display materials, stock and finishing kit. Keep a separate, accessible pack for paperwork and small tools. Think through which case you need first, while giving safe weight distribution and restraint priority over convenience.

Agree which protective materials and securing equipment you need, and what is included in the hire. Follow the actual trailer and equipment instructions. The DVSA pre-journey checklist calls for a secure, evenly distributed load without overloading, alongside checks of connections, tyres and lights. An enclosed body does not replace load restraints.

Plan the handling at each end as well. For work activities, HSE advises avoiding hazardous manual handling where possible, including by changing the task or using appropriate handling aids. Establish what suitable equipment and assistance will actually be available at the venue.

5. Give pack-down its own time and equipment

Keep empty cases, padding and fixings organised during the event so they are ready for the return journey. Reconcile the inventory before loading and record anything left with the organiser or another team member.

If stock has been sold or some equipment is returning elsewhere, the load has changed. Re-plan its position and securing, and repeat the pre-journey checks. Allow time for dismantling, waiting for access, loading, travelling, unloading at base and returning the trailer within the agreed hire period.

Send an enquiry that covers the whole job

For Debon 500 hire enquiries, include your packed inventory, towing vehicle details, preferred collection and return times, venue access restrictions and any equipment you need us to confirm. Mention any overnight arrangements or special handling requirements.

We will confirm suitability, availability, permitted use and the full hire terms individually. An enquiry does not reserve the trailer. If this is your first hire, use our collection checklist before the day.
